The 7-day RingCentral migration playbook

Number porting, extension mapping, IVR flattening and how to keep zero downtime while switching to AI answering.

Why teams leave RingCentral in 2026

RingCentral is a solid legacy UCaaS platform, but three gaps have opened up:

  1. AI is an upcharge, not a foundation. Every AI feature is a per-seat add-on that stacks to $60+ per user.
  2. Content, CRM and SEO live somewhere else - the phone system doesn't produce any downstream marketing value.
  3. Missed calls stay missed. There is no native text-back, no dispatch, no auto-content, no review loop.

GSS Connect AI replaces the phone stack and the marketing stack, priced around outcomes instead of seats.

The 7-day plan

Day 0 - Audit

  • Export the RingCentral user list, extension map, IVR tree, and business-hours rules.
  • Screenshot every after-hours flow.
  • Inventory active integrations (Salesforce, HubSpot, ServiceNow, etc.).
  • Pull the last 90 days of call detail records for baseline metrics.

Day 1 - Number porting kickoff

  • Submit the LOA (letter of authorization) - RingCentral supports LNP without penalty after your first 12 months.
  • Porting SLA: 3-7 business days for US numbers, 10-14 for toll-free.
  • Keep RingCentral active until porting completes. Never cancel first.

Day 2 - AI receptionist configuration

  • Upload the current IVR script - the AI Migration Wizard flattens it. Most 4-level IVRs collapse to two clarifying questions.
  • Choose voice, persona and industry pack.
  • Set up warm-transfer targets (mobile, desk, groups).
  • Configure fallback rules: after-hours, overflow, VIP callers.

Day 3 - CRM sync

  • Connect Follow Up Boss / HubSpot / Salesforce / ServiceTitan / Housecall Pro / Jobber.
  • Test contact creation, deal-stage automation, activity logging.
  • Import 12 months of RingCentral call history and voicemails.

Day 4 - Content + SEO

  • Enable Call-to-Content: transcription, topic extraction, publishing rules.
  • Deploy Omnipresence SEO pack: schema on every page, llms.txt manifest, GBP integration, IndexNow.
  • Set approval level per channel (auto / human-in-loop / manual).

Day 5 - Team training

  • 30-minute live session for admins.
  • 15-minute self-serve tour for users.
  • Mobile + desktop app rollout.

Day 6 - Dry run

  • Port a single number first (test line).
  • Place 10 test calls covering every persona and flow.
  • Validate CRM sync, transcription accuracy and content generation.

Day 7 - Go live

  • Porting window opens (typically 9 AM ET, provider-scheduled).
  • Live cutover - the AI receptionist answers the first call within seconds.
  • Legacy RingCentral trunks kept warm for 48 hours as a safety net.

What NOT to do

  • Never cancel RingCentral before ports complete. You lose the numbers permanently.
  • Do not try to replicate a 6-level IVR. The whole point is the AI answers.
  • Do not turn off call recording during the transition - you need it for training the AI on your specific vocabulary.
  • Do not skip the CRM history import. Historical context is what makes the AI sound like it's worked there for years.

Zero-downtime guarantee

Every port is scheduled with a rollback trunk. If a number does not activate on the GSS side within 15 minutes of the porting window, the RingCentral trunk stays live and receives every call. No customer ever hears a dead line.

KPIs to track post-migration

| Metric | Before | Typical after 30 days | | --- | --- | --- | | Missed-call rate | 18% | < 2% | | Speed-to-lead | 8-12 min | < 60 sec | | Content assets/mo | 0-4 | 200-400 | | Cost per user | $45-$65 + AI add-ons | $35-$79, AI included |
